TERMS & CONDITIONS

Dubai B2B Travel Services

Modern Trail DMC is a Dubai-based Destination Management Company (DMC) providing B2B travel services including hotels, transfers, sightseeing, tours, attractions, activities, transportation and other destination services in the UAE.

1. BOOKING & CONFIRMATION

• All services are subject to availability at the time of booking.
• A booking will be considered confirmed only after written confirmation from Modern Trail DMC and receipt of the required payment.
• Rates and availability are subject to change until the booking is confirmed.
• Any verbal discussion or provisional reservation will not be considered a confirmed booking unless confirmed in writing.
• The booking confirmation, quotation or invoice will specify the services included in the package.

2. PAYMENT TERMS

• Payment must be made according to the payment schedule mentioned in the quotation or invoice.
• The booking may be cancelled automatically if payment is not received within the specified deadline.
• Any bank charges, payment gateway charges, currency conversion charges or transaction fees, where applicable, may be payable by the client/agent.
• Payment through a payment link is subject to successful receipt and verification of the transaction.
• Modern Trail DMC reserves the right to request full payment before confirming services, particularly for last-minute or non-refundable bookings.

3. HOTEL BOOKINGS

• Hotel bookings are subject to availability and the hotel's applicable terms.
• Room categories, meal plans, check-in/check-out times and hotel facilities will be as specified in the booking confirmation.
• Early check-in and late check-out are subject to availability and may involve additional charges.
• Hotel security deposits, tourism fees, city taxes or other mandatory charges, if applicable, may be payable directly by the guest.
• No refund will be provided for unused room nights, early departure or no-show unless specifically agreed by the hotel.

4. CANCELLATION & REFUND

• Cancellation requests must be submitted in writing.
• Cancellation charges will be applied according to the applicable hotel, attraction, tour operator, transportation or supplier policy.
• Non-refundable bookings, promotional rates, special offers and issued attraction tickets may not be eligible for refund.
• Cancellation after the supplier's permitted cancellation period may result in up to 100% cancellation charges.
• Refunds, where applicable, will be processed after receiving confirmation/refund from the respective supplier.
• Any applicable bank, payment gateway or transaction charges may be deducted from the refundable amount.

5. NO-SHOW POLICY

No refund will normally be provided in case of:

• Guest no-show
• Missed airport/transfer pickup
• Late arrival for a scheduled activity
• Failure to attend a tour or attraction
• Unused hotel nights
• Early departure
• Partially utilized services

6. TOURS & ATTRACTIONS

• Attraction and activity tickets are subject to the terms and conditions of the respective operator.
• Once tickets are issued, they may be non-refundable and non-amendable.
• Entry is subject to the date, time slot and ticket category mentioned on the ticket.
• Guests must follow the rules and safety requirements of the respective attraction.
• Any additional services not specifically mentioned in the booking confirmation will be charged separately.

7. TRANSFERS & TRANSPORTATION

• Transfers will operate according to the confirmed itinerary and pickup details.
• Guests must be ready at the designated pickup point at the specified time.
• Waiting time may be limited and additional waiting charges may apply where applicable.
• Vehicle type and capacity will be as confirmed in the booking.
• Child seats, special vehicles, luxury vehicles or additional services may involve extra charges.
• No-show or late cancellation charges may be up to 100% depending on the supplier's policy.

8. DESERT SAFARI & ACTIVITIES

• Desert safari, dhow/mega yacht cruises, water activities and other excursions are subject to weather and operational conditions.
• Certain activities may be restricted due to weather, safety regulations or government instructions.
• Belly dance, Tanoura shows and other entertainment are subject to availability and operational schedules.
• Dune bashing and adventure activities are subject to safety regulations and age/health restrictions imposed by the operator.
• Any activity not specifically included in the confirmed package will be payable separately.

9. VISA SERVICES

• Visa approval is subject to the decision of the relevant UAE authorities.
• Modern Trail DMC does not guarantee visa approval.
• Visa fees and processing charges may be non-refundable once the application has been submitted or processed.
• The applicant/agent is responsible for providing correct and complete documents.
• Any delay or rejection by immigration authorities will be subject to the applicable visa policy.

10. AMENDMENTS

• Any amendment to a confirmed booking must be requested in writing.
• Changes are subject to availability and supplier approval.
• Amendment fees, fare differences or supplier penalties may apply.
• Some services may not allow amendments after confirmation or ticket issuance.

11. TRAVEL DOCUMENTS

Guests are responsible for carrying:

• Valid passport
• Valid UAE visa, where required
• Required identification documents
• Confirmed tickets/vouchers
• Any other documents required by immigration or service providers

Modern Trail DMC will not be responsible for losses caused by incorrect, incomplete or expired travel documents.

12. FORCE MAJEURE

Modern Trail DMC will not be liable for delays, cancellations, losses or changes caused by circumstances beyond reasonable control, including:

• Extreme weather
• Natural disasters
• Government restrictions
• Strikes
• Civil unrest
• Epidemics/pandemics
• Flight disruptions
• Road closures
• Government or immigration decisions
• Other force majeure events

Any refund will be limited to the amount recoverable from the respective supplier.

13. SUPPLIER TERMS

All services are provided subject to the terms and conditions of the respective supplier, including hotels, airlines, transportation companies, attractions, restaurants, cruise operators and activity providers.

In case of any conflict, the specific terms mentioned in the quotation, booking confirmation or voucher will prevail.

14. PRICES & TAXES

• Rates are based on the quotation issued by Modern Trail DMC.
• Rates may change before confirmation due to availability, exchange-rate fluctuations, government charges or supplier price revisions.
• Any tourism tax, municipality fee, tourism dirham, VAT, service charge or other government-mandated fee will be applicable as mentioned in the quotation.
• Any additional service requested after confirmation may be charged separately.

15. GUEST RESPONSIBILITY

Guests are required to:

• Follow the instructions of the service provider.
• Arrive on time for tours and transfers.
• Respect hotel and attraction rules.
• Take care of personal belongings.
• Follow applicable UAE laws and regulations.

Modern Trail DMC will not be responsible for loss or damage to personal belongings unless caused by proven negligence of the service provider.

16. REFUND PROCESSING

Approved refunds will be processed after supplier reconciliation and confirmation of the refundable amount.

Refunds will normally be made to the original payment method/account used for the booking.

Processing time may vary depending on the supplier, bank and payment gateway.

17. LAST-MINUTE BOOKINGS

For bookings made close to the travel date, full payment may be required immediately. Such bookings may be subject to stricter cancellation and amendment conditions.

18. ACCEPTANCE OF TERMS

By making payment, confirming a booking, accepting a quotation, or using the services of Modern Trail DMC, the client/agent confirms that they have read, understood and accepted these Terms & Conditions and the applicable booking-specific cancellation/refund policy.
